Where is it hosted?



iportinstant CRM is hosted on secure servers through our partner Iomart and these are located in Edinburgh (UK) and Washington (USA). The server sites are totally secure and have the highest possible bandwidth available to them so your site will always be responsive, available and secure.

Who does the backups?



Backups are our responsibility and we take daily backups of all iportinstant CRM sites and hold these for three working days. In the unlikely event of a total systems failure we will recover to the previous day's copy. Should you wish to recover from a previous backup we can also do that for you.

How secure is it?



iportinstant CRM is a totally secure portal environment. Each user is identified by a login and password and these determine their Role in the portal. There are three key roles with pre-defined permissions: Systems Administrators, Users and Customers. Each user however can be assigned different permissions even within these roles. No one can gain access to an iportinstant CRM site without knowing the login and password of a valid user…period. Comprehensive audit trails of users logging in and all activity once logged in are standard so that you can see who is doing what and track every data update. At iport4business, only one senior executive trustee has access to the databases and then only for emergency repair or maintenance. Only you can maintain and operate your iportinstant portal and you have total control over who gains access, what they see and what they can do.

How easy is it to customize?



We designed iportinstant CRM so that users could customize the portal to suit their own business processes. Changing the data stored against Organizations, Individuals or Transactions is extremely easy and even users with no prior knowledge of database systems can carry this out with confidence very quickly. There is a range of online tutorials within the system that walk you through this. Some clients prefer to have us do these changes and we are happy to do this for them.


You can upload your logo so that it appears on the Home Page also. To have the entire site changed so that it looks like your web site is also possible and prices are typically reasonable at around $500.


More complex changes are also possible such as building in workflow procedures and logic. You can even have custom applications and transactions created for you so that the portal becomes your own unique environment. Please contact your account manager who will be happy to discuss any and all of this with you.

Is there a minimum contract period?



No. You can sign up for iportinstant CRM for as long or as little time as you need. In practice, the minimum period would be one month in that billing is a monthly process and once you sign up the first month is deducted from your credit card. You pay NOTHING during the Free Trial period it should be stated – we don’t even take your credit card details at that time. You only pay when you subscribe to the portal. Each month we will check the portal usage in terms of the number of recognized Portal Users and this will dictate the monthly fee charged to your credit card. It’s totally in your control therefore – if you want to stop paying for a user simply uncheck the Portal User flag on their Admin page and the next month you won’t be billed for that user (provided that they haven’t be reactivated during that month).

What if I cancel the subscription?



You can cancel at any time just by telling us. We will then export your data to Excel (if required) and email it to you before blocking access to your portal. If you ever wanted to reactivate the portal just tell us and we will turn everything back on. Simple.

How many users can I set up?



As many as you want to. There is no limit (apart from your budget that is). You pay nothing for a contact record either – simply for those users that you want to grant access to the portal. If you plan on adding more than 20 users we suggest you contact your account manager to find out about a special price deal.

How often is the software updated?



We update the software regularly. First of all we fix any reported bugs as they are resolved. Secondly we add any additional functionality in a version release as it becomes available. These releases are not typically any more regular than quarterly and are totally dependent on demand. Our development policy is to charge specific customers or specific groups of customers for enhancements that they request and then make these available to all users under the standard monthly charge. In this way, the IT budgets of a much larger group of customers can be pooled and the software continuously driven forward by focused investment. It's a simple model and, more importantly, it's fair for everyone.

How can you do this so cheaply!



This is a question we get asked ALL the time! We developed iport some time ago and so the R&D was essentially written off at that time. The creation of iportinstant CRM came about because we had developed several CRM based software applications for ourselves and for clients – sales opportunity management, service management and project management – and we had also been hosting iport portals since the launch of the software. Therefore, it seemed logical to us to create a hosted portal solution, include the CRM software that we had developed and make it available at fair price so that customers could use the functionality already there and direct their budgets towards customizing the portal solution rather than paying high monthly fees for functionality they don’t need or want. Some customers never customize the portal and simply use what is there to great effect. Others find that the low monthly cost allows them to make significant changes to the portal and get a highly customized solution for a fraction of the cost it would have taken them to buy portal software and/or build an application from scratch. The model works for both parties: it’s a true win-win outcome.
